HubSpot vs Zoho CRM: Which fits your Australian business?

HubSpot vs Zoho CRM usually starts as a feature comparison for Australian businesses. However, recent evidence suggests that features are only a small part of the decision-making—which is kind of a big phrase to say when features play a big role.
The quick answer
The most detailed comparison found is Capterra’s July 2026 analysis of 459 verified user reviews, 243 for HubSpot and 216 for Zoho. It describes the choice as a trade-off between speed and control.
HubSpot | Zoho CRM | |
Where it scores best in the review data | Ease of use: 80% of 41 relevant sentences were positive and none negative | Customisation: 68% positive across 60 sentences |
Capterra’s summary of who it suits | Marketing-led teams that want speed | Budget-conscious teams that want control |
Note: Treat this Capterra analysis as directional evidence only, not a peer-reviewed study, and it is not specific to Australia.
Software is the smaller part of the decision
This 2025 Inderscience case study, titled Critical success factors in implementing a CRM solution, identified top management involvement, clearly defined objectives, effective change management, and end-user feedback as the most critical factors for a successful CRM implementation. Although it doesn’t cover all business types, because it focuses on a single technology-sector organisation, it still provides supporting evidence that software and its features are only a small part of the picture.
FWRD CRM view: This is why we ask how a team sells and serves, and who owns its data, before we ask which platform it should use. A platform that fits your process will beat a platform with more features. We cover this in more detail in Most CRM projects fail for this one reason.

What matters for Australian businesses
Data hosting is no longer a differentiator. Zoho set up data centers in Sydney and Melbourne in 2019, with its leadership citing data sovereignty requirements among regional customers. While HubSpot opened its first Australian data center in Sydney in February 2025, aimed at helping businesses in regulated sectors meet Australian data residency requirements.
In addition, Zoho notes that feature availability can vary between its data centers, making it important to confirm the features a business needs are offered in the Australian one.
If you use Xero, Zoho Marketplace lists a Xero integration extension that syncs Xero invoices, products, and contacts with Zoho CRM invoices, products, and accounts.
FWRD CRM view: Hosting location is also not the same as compliance, which depends on how you configure and use the system. Moreover, whichever platform you choose, confirm that the accounting and payroll integrations you rely on work with your edition and region before you commit.
Where HubSpot is the better choice
HubSpot's strongest category in Capterra's data is ease of use, with 80% of relevant sentences positive and none negative. Zoho's ease of use sentiment is also positive overall at 70%, but 12% was negative, and its "training and learning curve" theme was its weakest at 41% positive and 30% negative. Capterra also reports that reviewers consistently praise how easily HubSpot connects to the rest of a marketing and sales stack.
Capterra concludes that teams that have not settled on a sales process tend to do better starting with HubSpot's guided structure, while teams that already know how they want their pipeline to work get more from Zoho's configurability.
Three mistakes to avoid when choosing
Comparing entry prices only
Pricing was the most negative theme in HubSpot's review data, with complaints centered on the cost of upgrading beyond the starter tier, while Zoho's pricing complaints were milder. Compare the cost of the tier you will need in year two.
Choosing features rather than process
The 2025 case study mentioned above stated that the most critical factors were management involvement, clear objectives, change management, and end-user feedback, and the survey found data quality is a widespread problem regardless of platform.
Underestimating training
Zoho's learning curve was the weakest point in its review data, so plan time for configuration and training. See our Zoho CRM implementation in 2026 guide.
